Terms of use
Preliminary version, subject to legal review before launch.
These Terms of Service are effective from 9 October 2026. They govern access to and use of the StandSense platform, website and related services by organisations and the people who use them on their behalf.
1. Who we are
StandSense is a software-as-a-service platform for trade-show exhibitors and live-marketing agencies, operated by StandSense from Barcelona, Spain. In these terms, "StandSense", "we" and "us" refer to the operator of the platform. "Customer" means the organisation that subscribes to the service, and "user" means any individual who accesses the service under a customer account.
For any question about these terms, write to legal@standsense.eu.
2. The service
StandSense lets users upload trade-show floor plans in PDF, DWG, DXF, PNG or JPG format. The platform builds a 3D model of the exhibition hall, simulates visitor flow and uses artificial intelligence to generate a booth strategy based on the floor plan and the event information the customer provides, such as the briefing, objectives, budget range and team size.
The service is intended for professional use only. It is not offered to consumers, and by accepting these terms you confirm that you are acting for a business, agency or other professional organisation.
We may improve, change or discontinue features over time. Where a change materially reduces the functionality of a paid plan, we will give reasonable notice in advance.
3. Accounts and access
To use the platform you need an account. You must give accurate information when registering, including your name, work email, company and role, and keep it up to date.
- Each user must have their own login. Credentials must not be shared.
- You are responsible for keeping your password and any access methods secure, and for all activity carried out under your account.
- The customer is responsible for managing its organisation and team membership, including inviting and removing users.
- Tell us promptly at legal@standsense.eu if you suspect unauthorised access to your account.
4. Plans, billing and cancellation
StandSense is offered through per-event credits and through Pro, Agency and Enterprise subscriptions. Subscriptions can be billed monthly or annually. Prices and the features included in each plan are shown on the website or in the customer's order.
- Payments are processed by Stripe. Card details are handled by Stripe only and are never stored on StandSense systems.
- Subscriptions renew automatically at the end of each billing period unless cancelled.
- You can cancel at any time. Cancellation takes effect at the end of the current billing period, and you keep access until then.
- Except where required by law or agreed in writing, fees already paid are not refundable, and unused credits or partial periods are not refunded.
- Enterprise plans may be governed by a separate written agreement, which prevails over these terms where they conflict.
If a payment fails, we may suspend access to paid features after giving notice, until the outstanding amount is settled.
5. Customer content
"Customer content" means the floor plans, files and event data that you upload or enter, including post-event results.
- You keep all rights in your customer content. StandSense claims no ownership of it.
- You grant StandSense a limited licence to host, process and analyse your customer content solely to provide, secure and support the service for you.
- We treat customer content as confidential and use it only to provide the service.
- Post-event results may be used to calibrate our models only in anonymised or aggregated form, and only where the customer's contract opts in.
- You confirm that you have the right to upload the content you provide, including any floor plans supplied by event organisers or other third parties.
For personal data contained in customer content, StandSense acts as a processor on behalf of the customer. Our Privacy Policy explains how we handle personal data.
6. Share links
Customers can create public share links to show a plan or strategy to people who do not have an account. Anyone with the link can view the shared content while it is active. You can set an expiry date and revoke a link at any time. You are responsible for deciding what to share and with whom.
7. Acceptable use
You agree not to:
- use the service for any unlawful purpose or in breach of the rights of others;
- upload malware or content you are not authorised to use;
- attempt to access other customers' data or bypass security, usage limits or access controls;
- reverse engineer, copy or resell the platform, except as permitted by law;
- use automated means to extract data from the service, or use outputs to build a competing product;
- overload or disrupt the infrastructure that runs the service.
We may suspend access if we reasonably believe these rules have been breached or the security of the service is at risk. Where appropriate, we will tell you first and give you a chance to fix the issue.
8. AI-generated output
Booth strategies, flow simulations and other outputs are produced with the help of AI models and are based on the information available. They are recommendations to support your decisions, not guarantees of results such as visitor numbers, leads or sales. You should review the outputs and apply your own professional judgement before relying on them. The final decisions about your booth and event remain yours.
The AI analysis runs on Amazon Bedrock using Anthropic Claude models. Under the applicable AWS terms, customer data is not used to train those models.
9. Intellectual property
StandSense and its licensors own the platform, its software, design, models and documentation. These terms do not transfer any of those rights to you. Subject to these terms, you may use the outputs generated for you for your own business purposes.
If you send us feedback or suggestions, we may use them to improve the service without any obligation to you.
10. Availability and support
We work to keep the service available and secure, but we do not guarantee that it will be uninterrupted or error-free. Planned maintenance will be announced where reasonably possible. Specific service levels apply only if agreed in writing, for example in an Enterprise agreement.
11. Liability
The service is provided "as is" to the extent permitted by law. To the maximum extent permitted by law:
- StandSense is not liable for indirect or consequential losses, including lost profits, lost business opportunities or lost data;
- our total liability arising from the service in any 12-month period is limited to the fees paid by the customer for the service in that period.
Nothing in these terms limits liability that cannot be limited by law, such as liability for fraud or gross negligence.
12. Term and termination
These terms apply for as long as you use the service. You can close your account at any time. We may terminate or suspend an account for a serious or repeated breach of these terms, or if required by law.
After account closure, uploaded files and event data are deleted from active systems within a reasonable period, normally 30 days. Backups expire on their own cycle. Export anything you need to keep before closing your account.
13. Changes to these terms
We may update these terms from time to time. If changes are material, we will notify customers by email or in the platform before they take effect. Continued use of the service after that date means the updated terms apply.
14. Governing law and contact
These terms are governed by the laws of Spain, without prejudice to any mandatory rules that apply to the customer in its own country. Disputes will be submitted to the courts of Barcelona, unless the law requires otherwise.
Questions about these terms can be sent to legal@standsense.eu.
